Art & Display
Bulletin Boards, Display Cases, and Wall-Mounted Art Exhibits
Purpose of David H. Townsend exhibit programs:
- Highlighting the strengths and diversity of the collections and services
- Promoting the programs of the library and other campus events or programs
- Acknowledging gifts and to encourage giving
- Celebrating library and NMSU-A milestones and accomplishments
- Creating an inviting setting for library users
Conditions for exhibits:
- All exhibits in the facility must be sponsored by the library
- Exhibits shall affirm the American Library Association's Library Bill of Rights, which states "...library resources should be provided for the interest, information, and enlightenment of all people of the community that the library serves."
- The library supports the American Library Association's recommendations for Intellectual Freedom Principles for Academic Libraries, which state that "Freedom of Information and of creative expression should be reflected in Library exhibits and in all relevant Library policy documents."
- All exhibits are managed and approved by the Library Director.
- Security and insurance is not provided for privately owned items. The library is not responsible for damage, loss, or theft of exhibited items.
- The person requesting the exhibit is responsible for it and will be the point of contact between the Library Director and an exhibit team members.
- Exhibits in the library are not to be used for sales of any kind.
- The library may photograph or digitally display exhibits for public announcements and/or websites.
- The exhibitor is responsible for installation and dismantling in a timely manner scheduled with the Library Director.
- Labels for exhibit items, and a statement of attribution for the exhibit is the responsibility of the exhibitor.
- Damage to library property from the exhibit is the responsibility of the exhibitor.
Approval Process:
- Proposals must be submitted using the Exhibit Request Form (example form below)
- Proposals must be submitted a minimum of 6 weeks in advance of the desired exhibition date.
- Proposals are evaluated for their stated purpose based on policy goals, educational content, cost and timeliness.
- Any costs associated with the exhibit must be specified in the proposal, e.g. framing, wall repairing, etc.
Once an proposal has been approved, the exhibitor(s) will meet with the Library Director to finalize plans to include dates of the exhibition, installation and removal schedule, design and labeling, etc. Proposals will be kept on file for a minimum of two years. Publicity for the exhibition will go through the NMSU-A Public Relations office.
Bulletin Boards:
The library bulletin board content is for NMSU-A approved postings only. The board is not open for public use unless approved by the university and communicated to the Library Director.
All materials for the bulletin board must be submitted to the Library Director for posting. Library staff reserves the right to deny materials if the posting does not comply with this policy, if the content violates local, state, or federal laws, including but not limited to, any laws on obscenity, libel, defamation of character or invasion of privacy. Postings are on a first-come, first-serve basis.
The library does not guarantee space to post materials. Library staff reserves the right to deny submissions if deemed there is not enough available spaces at the time.
Materials must have a posted date and a removal date on them. No materials will remain longer than 15 days. Library staff are not obligated, but they reserve the right to remove materials at any time.
Display Cases:
Library display cases are not to be used for commercial purposes, including but not limited to advertising for any goods or services. No work of art, craft, or artifacts displayed may be priced for sale.
Displays are retained monthly or as decided by the Library Manager or designee. Each display will include signage to show the theme of each display and that al materials are available for check-out.
